Who we are

Waiver Studio (“we”, “us”) provides software that lets organizations create digital waivers and collect electronic signatures from their participants. This policy explains how we handle personal information for two groups: customers who hold Waiver Studio accounts, and participants who sign documents that our customers publish.

Information we collect

Account information: name, email address, organization details, and billing information for customers who create an account.

Participant information: the details a participant enters when signing a waiver—typically name, contact details, date of birth where the document requires it, guardian and minor details for family signing, the signature itself, and the signing metadata (timestamp, timezone, and technical details reasonably needed to evidence the signing).

Usage information: standard technical logs about how the service is accessed, used to keep the service secure and reliable.

How we use information

We use personal information to provide the service: presenting documents for signature, preserving signed records for the customer that published them, sending signing confirmations, providing support, and billing.

Signing a waiver never automatically enrolls a participant in marketing email or SMS. Any marketing permission is separate and optional.

We do not sell personal information.

Who controls participant records

The organization that published a waiver controls its signed records. Waiver Studio processes participant information on that organization's behalf to store, retrieve, and export those records. Participants who want a copy of, or changes to, a signed record should contact the organization they signed with; we support our customers in answering those requests.

Retention and deletion

Signed records are retained for as long as the controlling customer keeps them, subject to that customer's retention settings and applicable law. When a customer cancels, they can export their complete account, retain free read-only access for 90 days, and permanently own every PDF they download.

Security

Data is encrypted in transit and at rest. Access to customer records is limited by role-based controls and logged. See our Security page for the practices we have implemented.
